Exhibitor Ticket Purchase

Thank you for being interested in exhibiting at the Tablescapes 2027 fundraiser for the Avon Historical Society!

Early Bird Exhibitor Registration is open now through November 13, 2026, only to those who exhibited in 2026 and/or requested to be added to the waiting list for the 2027 event at the conclusion of the 2026 event.  Should we have any tables available after November 13, 2026, we will open registration to new contacts.

We understand and appreciate the financial and time commitments our Exhibitors put into creating their TABLESCAPES. That is why we continue to offer Exhibitor space free of charge. However, because the event's purpose is to raise funds for the Avon Historical Society, we ask all Exhibitors to purchase a minimum of 5 tickets ($100.00) to the event in lieu of paying an Exhibitor fee.  This lets you recoup your $100.00 by selling your tickets.

NEW:  This year, exhibitors can choose their table location on a first-come, first-served basis. By first-come, first-served, we mean the order in which we receive your commitment via the $100.00 payment for the 5 tickets you will be given to sell.

You can pay by Venmo, PayPal, or check. Checks should be made out to Avon Historical Society and mailed to:

Carol Bradovchak
9 Finch Run
Avon, CT 06001

We will keep a running list of the date and time we receive payment and contact each exhibitor in that order to ask for their table preference. We will keep a floor plan on this page showing reserved and open tables.

After the 1st of the year, we will be happy to give you additional tickets if you'd like to help with sales.  Prepayment for these tickets is NOT required (that is only for the initial 5 tickets). We can collect payment for sold tickets and collect any unsold tickets on set-up day.

Important Deadlines

  • 11/13/2026: End of Early Bird Exhibitor Registration.  Tables not reserved via the purchase of 5 tickets will be made available to the wait list Exhibitors.
  • 01/16/2027: The name of the Tablescapes Theme and the Tablescapes description are due for review. We will send the final write-up back to you for approval before it goes to print.
  • 02/13/2027: Payment for tablecloth rental is due, if applicable.

Furnishings

  • Tables are 5’ round.
  • If you use your own tablecloth (any color or pattern), it must reach the floor. You may rent white tablecloths for $16.00 each with advance notice.
  • The height from the ceiling to the table is 9', making it too high to reasonably hang anything from the ceiling.
  • Please do not set up any chairs, stools, or benches around the tables.  Chairs for sitting will be available around the perimeter of the room.
  • No electrical outlets are available; however, free Wi-Fi is available for Bluetooth device use.

General Rules & Miscellaneous Information

  • The use of ARTIFICIAL FLORA is NOT allowed in any part of the tablescape.  (So nothing inorganic, such as plastic, foam, latex, or silk.) Please use only fresh or dried flowers, greens, ornamental grasses, or other organic material (wood, paper) in your centerpieces and on your table. Centerpieces may include statues, houses, ornaments, and other items.
  • Tablescapes MUST include place settings. How many is your choice.
  • Please do not repeat a tablescape theme that you have used within the last three years.
  • Security is provided from the setup day through the conclusion of the event.

Selling Goods/Manning Your Table

  • Items on your table may be for DISPLAY OR SALE. You are responsible for selling and managing the sale of your items and may keep 100% of the profits. Feel free to write up the items for sale on a card and place them on your table. Business cards or flyers may be attractively displayed and distributed
  • Once you set up your TABLESCAPE, you are not required to attend on Friday and Saturday; however, you are strongly encouraged to be present. Most attendees enjoy meeting the Exhibitors. Plus, you get the benefit of hearing their comments, answering questions, selling items, and promoting their business (where applicable).

Awards

We are trying something new with the award system this year! This year, we'll award three first-place awards based on attendees' votes: #1 professional table, #1 amateur table, and #1 non-profit table.

Once you set up your TABLESCAPE on Thursday, you are not required to attend on Friday and Saturday; however, you are strongly encouraged to be present or have someone present in your stead if at all possible. Most attendees enjoy meeting the Exhibitors and conversing about the tablescape theme. Plus, you get the benefit of hearing their comments, answering questions, and selling items/promoting your business or organization where applicable.
In the past, we always designated tables alphabetically. This was a good way to show that we awarded tables fairly. However, it also meant that exhibitors with names at the end of the alphabet would always end up in the last row. This year, we would like to try something different, which we also believe will be fair to all. This year, exhibitors can choose their table location on a first-come, first-served basis. By first-come, first-served, we mean the order in which we receive your commitment via the $100.00 payment for the 5 tickets you will be given to sell.
There is no need to purchase more than 5 tickets initially, however if you wish to do so, please let me know!
After the 1st of the year, we will be happy to give you additional tickets if you'd like to help with sales. Prepayment for these tickets is NOT required (that is only for the initial 5 tickets). We can collect payment for sold tickets and collect any unsold tickets on set-up day.
Yes. We will have volunteers available to assist you in getting your materials to your table on setup day and then returning your materials to your vehicle after tear down.
